Occupational Health Officer

Responsibilities
Clinical responsibilities: 

  • Provides clinical support, including the design and implementation of appropriate health screening and followup programs for highrisk occupational groups.
  • Perform day to day clinical duties and provide clinical care for emergencies, injuries, and illnesses in the workplace.
  • Perform preplacement and periodic medical examinations and provide medical administrative support on sick leave, medical clearances, and medical evacuation coordination.
  • Provide health promotion services including health talks on infectious and noninfectious diseases, healthy living, and lifestyle modification.
  • Provide health education on areas relating to mental health and wellbeing in the workplace.
  • Provide travel health advice including supervision of the travel health clinic, administering vaccines, malaria prophylaxis and health briefings.
  • Deploy for mobile health outreach in remote deep field locations as may be determined by operational need.

Occupational safety responsibilities:  

  • Participates in the development and implementation of strategies and plans that promote occupational safety and health best practices.
  • Supports the development, review and update of the OSH risk management, standard operating procedures, and guidance materials.
  • Undertakes workplace risk assessments.
  • Ensures root cause analysis for significant incidents, reports and preventative actions are completed in a timely manner.
  • Collates information on performance, analyses trend, identifies areas where improvements can be made, proposes, and implements necessary corrective actions.
  • Promotes and raises awareness on safety behaviour at all levels of the organisation.
  • Coordinates safety trainings and exercises to ensure that operational readiness and competencies are maintained to standards.
  • Undertakes and provides support to UN complex Gigiri based office ergonomics program, health, and wellness programs.
  • Supports the monitoring of compliance with occupational safety standards.
  • Coordinates implementation of hazard and risk control programs.
  • Organizes and conducts safety inspections, audits and factfinding activities as needed.
  • Participates in the UN Occupational Health and Safety advisory committees both locally and regionally.  Perform other related duties as required.

Education

Job  Specific Qualification

  • Registration with the relevant professional bodies with a valid license to practice medicine from the authority in the country of origin is required.
  • Certificate in Occupational Health and Safety or equivalent is required.
  • Acceptable equivalents include certificates in occupational safety, occupational hygiene, industrial hygiene, environmental hygiene, environmental engineering, or environmental safety.
  • Successful completion of both degree and nondegree programs in data analytics, business analytics or data science programs is desirable.

Work Experience

  • A minimum of five (5) years of continuously progressive work experience and responsible medical practice in an occupational or workplace setting is required.
  • At least two (2) years work experience in occupational safety including assessment, incident investigation and reporting is required.
  • At least two (2) years’ experience handling healthcare emergencies in an Accident and Emergency Unit, Intensive Care Unit or Prehospital setting is desirable.
  • Experience in implementing and maintaining Occupational Safety and Health (OSH) Risk registers or OSH Incident reporting systems is desirable.
  • At least two (2) years international work experience serving in different countries is desirable.
  • Two (2) years or more of experience in data analytics or related area is desirable.

Administrative Assistant

Responsibilities

General Administration:

  • Assists to coordinate official mission for the Director of Administration, including logistical requirements, provision of travel itineraries and meeting planning.
  • Drafts agenda, reports, official programmes, notes/minutes of meetings, retreats, workshops, official visits. Ensures smooth workflow.
  • Prepares list of participants and relevant focal points.
  • Liaises with focal points efficiently and updates all information/documentation and disseminates quickly to relevant stakeholders.
  • Assists to prepare On Behalf of Travel Requests and Expense Claims as required.
  • Organizes and maintains reference material and background documents in DAS document repository.
  • Maintains statistics in database of events based on requests and shares the list indicating the interpretation requirements, venue, date and other relevant information, on a quarterly basis with Budget section for purposes of cost recovery as necessary. Coordinates with Division of Conference Services as required.
  • Drafts and routes correspondence for signature.
  • Act as back up for other staff on administrative/programmatic functions in the Office of the Director.

Data Management:

Dashboards:

  • Use dashboards and other business intelligence and analytical products for management and clients including Key Performance Indicators, other metrics and visuals as appropriate.
  • Reporting: Coordinates and presents management summaries related to reporting, both through local dashboards and the DMSPC management dashboard. Coordinates data and reports related to DAS activities including events, townhalls and other activities.
  • Generate annual reports and request verification by DAS Chiefs of Services on provisioning. Assist in generating ad-hoc reports through the Management Dashboard. d) Assist UNON SLO in follow up on Delegation of Authority sub-delegation analysis and Segregation of Duties conflict reporting.

Other duties:

  • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

  • The minimum years of relevant experience is reduced to five (5) years for candidates who possess a first-level university degree or higher.
  • Experience with an Enterprise Resource Planning (ERP) system (Umoja or similar) is required.
  • Experience in the United Nations system or similar multi-national organization is desirable. Work experience of one (1) year or more in data analytics or related area is desirable.

Logistics Assistant

Responsibilities

Goods Receiving:

  • Receives and inspects delivered stocks, ensuring the stocks received are in good condition and match specifications.
  • Liaises with Facility Management and Transport Section (FMTS) experts, Receiving and Inspection and Procurement in the event that stock items do not meet required quality standards.
  • Ensures stock database is updated daily to reflect stocks received and the stock levels.
  • Liaises with the Supply and Inventory Assistant when new items are delivered to the stores.

Distribution of Stock Items:

  • Receives and records the approved requisitions from FMTS and delivers/issues the goods.
  • Liaises with FMTS when the requisitions are not clear or when items are not in stock.
  • Ensures stock database is updated daily to reflect issuance and current stock levels.
  • Prepares items for distribution and/or distributes stock item as per FMTS instructions. Prioritize the delivery of stock items when needed.
  • Monitors the movers (contractor’s staff) in the stores when they remove items from the shelves.

Stores Operations:

  • Ensures that the stores are clean and stock items are stacked in the right places/shelves for easy access and distribution.
  • Ensures stock location is reflected correctly in the database.
  • Assists the Senior Stock Clerk in keeping the keys and locks all the cupboards for safe custody of stock items.
  • Monitors stock levels (as per the database) and liaises with Administrative Assistant (Stores) FMTS for the reordering of stock items as required.
  • Enters data in the database by entering Receiving and Inspection (R&I) deliveries and issuance of stock items; files stock requisitions, work orders and incoming correspondence in relevant files.
  • Drafts routine correspondence for the supervisor(s) upon request.
  • Assists in the preparation of reports on available stock and performs regular physical counts of items in stock.
  • Participates in physical inventory taking exercises of non-expendable and expendable goods administered by UNON upon request.
  • Identifies new stock items are added to FMTS catalogue on a continuous basis.

Other Functions:

  •  Assists Warehouse supervisor in the coordination and preparation of items to be submitted for disposal approval via Property Management Unit (PMU) for disposal.
  • Performs other related duties as assigned by the direct supervisor, warehouse supervisor, or Chief, PMU, such as, but not limited to, assuming the responsibilities of colleagues during their leave.
  • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
  • Assists with visualizations and updating information material such as web pages or brochures.
  • Performs other duties as assigned.

  • One (1) year or more of experience in data analytics or related area is desirable.
  • Experience providing services to the United Nations Common System, or a comparable international organization is desirable.
